not minutes for fifth and last E-ALFA LOC meeting.
Thursday 6th May.

Previous action items
Phone cards, Karen has bought a number of AT&T cards that she can re-sell.

ACTION: Karen O. - somehow notify people that she can sell people phone cards.

Telecon system in visitor centre and library:
Need phone numbers and passcode - these are the same as for the conference calls that we have been using for the LOC meets.

ACTION: karen to distrubute phone number via emails

324 and 389 is ext for the telecon at the LC.
backup, also distribute phone number of library 215.

Mailing alias for votes
Tested and is Working ok for Chris S. (and probably Steve S.)
Mike will probably be available for any outstanding problems


LC and Library room facilitites
All is ok for the library: the existing lcd projector, whiteboard and pens are all organised.
All is also ok for the LC. There are a number of laptops which are avialable for internet access.

NB. need two connections for library (one for projector, one for computer to take minutes), these apparently exist.
ACTION; Karen O. last minute organisation of the library.


collection/departures
notice will be displayed for the w/end for people to see.
ACTION: Carmen S. - ensure that this is done.

Nametags/ folders
Karen O. and Chris S. have everything ok to go. Everyone has nametags, incl. AO staff.
Folders exist - need more documents to be added.
Named/Marked folders will not exist for each person- just the folders and bits and pieces for people to pick up as they go.

Fincances
All that is necessary is that attendees hand in claim form, which goes onto Jill M.
Karen askes if john davies - extra for wife? Bob says that he wont, since the entire room would be used by him anyhow.
No lodging bills will exist (except for Mary P. who is staying for 6 days)
Chris and Karen have been to sams club and purchased snacks etc. These were paid for by Desh (sams does not use visa because they are not good consumer providers)
ACTION: CHRIS S. to check with Carmen T. / Jose' M. to arrange for re-imbursment.

Jose' recommends that somone goes to check all rooms to ensure that they are ok.

ACTION: Chris S. and Karen O.: get keys from guards and check rooms are ok, incl. hot water.

Jonathon remains incommunicando and AWOL. Where IS that guy? Karen O. figures that he will wander in soon and has no other ways to get in contact with him.

Drinks/ snacks by pool: is all ok.
Jose' will get supplies for coffee etc. for sat and sunday.
Jose' will arrange for somone for organise at LC.
Jose' asks, does anyone need transport to and from VSQ? apparently not., though
transport from cafe to LC on sunday is probably useful.

ACTION: Jose' to arrange for some transport for people to get to LC in mornings and lunctim to be available

Jose' says that Angles van is at the gate for any needs, ask the guards for keys.
Apparently any joe can drive the minivan.
Carmen says that angel is leaving 11am on sunday - Jose' says that VC van is available for that time.
